SnoutWare is software for animal shelters and veterinary practices. This policy explains what personal data we collect, why we collect it, who we share it with, and the choices you have. It applies to the people who run shelters on SnoutWare, the adopters and fosters who apply through them, and visitors to our sites.
We do not sell your personal data, and we do not use it for third-party advertising.
We share data with the service providers below (our "sub-processors") only as needed to run SnoutWare. Each one handles data under its own privacy commitments.
Database, sign-in, and file storage. This is where shelter records, adopter applications, and uploaded photos live.
Data shared: Names, emails, phone numbers, addresses, application answers, and uploaded files for shelters and adopters.

Hosts the SnoutWare website and runs its server code.
Data shared: Technical request data such as IP address and browser type; any personal data passes through in transit.

Processes subscription payments from shelters and adoption-fee payments from adopters.
Data shared: Billing contact details and payment information. Card numbers go directly to Stripe; SnoutWare never stores them.

Delivers transactional email (application updates, verification links, notifications).
Data shared: Recipient email addresses and the contents of those emails.

Internal customer relationship tracking for shelters and vet practices that use SnoutWare.
Data shared: Organization name and the contact details of the person who signed the organization up.

Powers SnoutWare's optional AI features (for example, drafting animal descriptions).
Data shared: Only the content submitted to an AI feature when a shelter chooses to use it. Anthropic does not train models on this data.

Error monitoring. When something breaks in SnoutWare, Sentry records the technical details so we can fix it.
Data shared: Technical error reports (page, browser type, IP address). Request bodies, cookies, and account details are stripped before sending.

We keep personal data for as long as an organization uses SnoutWare. When a shelter leaves, we delete its records on a 30-day schedule (with a window to restore by mistake). When an individual asks us to delete their data, we remove their personal identity from our records. For accountability we keep a structural history of actions (for example, that an application was approved on a date) with the personal details replaced by placeholder values.

Use our request form to make any of these requests. You do not need an account. We respond within 30 days. For a deletion request, we email you a link to confirm it is really you before anything is removed.
